Terms & Conditions
Last updated: August 7, 2025
Bookings & Payments
A non-refundable retainer of 50% is required to secure your booking. No dates are held without a
deposit. Final payment is due no later than 7 days before your event date. Accepted payment methods
include Zelle, Venmo, bank transfer, and other cash-equivalent methods. Credit cards are accepted for
corporate or company events only. Late payments may result in cancellation of your order or additional
fees.
Rental Duration
Rental items are provided for a single-day event use, unless otherwise agreed in writing. Standard
rental period is up to 24 hours, including setup and breakdown. Additional time may incur extra
charges.
Delivery, Setup & Pickup
Delivery and pickup windows will be confirmed no later than 2 days prior to your event. Client must
ensure venue access is arranged and that our team can deliver and retrieve rentals without delay. We
do not move existing venue furniture unless prearranged.
Cancellations & Rescheduling
All retainers are non-refundable. If you cancel within 30 days of the event, the full amount may be
forfeited. One reschedule is allowed, subject to availability, within 12 months of the original date. Force
majeure events (natural disasters, pandemics, etc.) will be reviewed on a case-by-case basis.
Damage, Loss & Client Responsibility
You are responsible for all rental items from the time of delivery until we retrieve them. Any lost, broken,
stained, or damaged items will be charged at full replacement value. Items should not be left outdoors
overnight or unattended in unsecured locations.
Custom Orders & Signage
Custom-made items (e.g., laser-cut signs, vinyl wraps, florals) are non-refundable and cannot be
canceled once production has started. Proofs must be approved in writing; we are not liable for errors
once approved.
Design & Creative Direction
By booking with us, you trust our artistic vision and event styling. While inspiration is welcome, we do
not replicate other designers’ work. Small substitutions may be made to ensure the best possible
design outcome (e.g., floral substitutions due to seasonal availability).
Client Obligations
Client (or designated contact) must be on-site or reachable during setup and pickup windows. Clear
communication is expected before and during the event planning process. We reserve the right to
refuse service if the venue is unsafe or conditions are not as described.
Use of Images
We reserve the right to photograph our work at your event and use it for marketing and portfolio
purposes. Let us know in advance if you’d prefer your event not be shared publicly.
Liability
Elegance Event Planner is not responsible for injury, property damage, or delays caused by third-party
vendors or venue-related issues. In the rare event of equipment malfunction or error on our part, our
liability is limited to the amount paid for that specific rental or service.
Agreement
By booking with Elegance Event Planner, you confirm that you have read, understood, and agreed to
these Terms & Conditions. These Terms are subject to change without notice. The latest version will
always be available on our website.
